Is your feature request related to a problem? Please describe.
Currently, the Automated Invoicing feature sends an invoice with totals aggregated at a high level and I am unable to see the detailed information necessary to fully review a provider’s submitted invoice.

Describe the solution you'd like
CSSAT can modify the invoice spreadsheet to include additional tabs that will provide the necessary information for Area Leads. Over the past several months, providers have sent Area Leads the “Billing Download File” that Sprout generates for provider use. Area Leads are familiar with this file and one possible solution is to align the “Billing Download File” that providers access in Sprout with the “Invoice File” that Sprout sends to Area Leads.

Additional context
There are differences in structure and design between the Invoice and the Billing Download File spreadsheets:

  1. The Billing Download File has additional tabs to help providers monitor data entry errors, pay for individual visit supervisors, audit transportation details, etc.
  2. Scope: Billing Download File includes information for a provider organization across ALL regions and intake types for a billing period; whereas each invoice file only includes one region and type of intake (72-hour vs standard).
  3. Design: The tabs in the Billing Download File were designed to help providers prepare their invoice prior to submission and pay individual workers. Some tabs may not be well suited for the needs of Area Leads.
    We want to make sure we give the Area Leads as much information as they need but avoid doing extra work to give them unnecessary information.

Currently the invoice contains these tabs:

  • • Flagged Reports

The Billing Download File includes these additional tabs (if data exists). We have highlighted the tabs we recommend adding to the Invoice spreadsheet sent to area leads, with some explanations where relevant.

  • • Report Conflicts
  • • Reimbursee Conflicts (Conflicts can cross regions. We will filter this to include details on conflicts whenever at least one of the conflict events takes place in the invoice region. For example, if a Region 5 transport conflicts with a Region 6 visit, the details of the conflict will be included for both the Region 5 and Region 6 invoices, but not for other regions.)

All parties agreed the following tabs are NOT to be included (after discussion w/ Doug and Andrea on 8/13/24):

  • • Unapproved Reports
  • • Totals By Reimbursee
  • • Unclaimed Reimbursements

Prioritization Process

  • Confirm the issue is a feature to which we want to devote resources.

  • Write user story in as a (role) I want (something) so that (benefit) format.

  • Label story Large, Uncertain, Small. If the story is too large, convert the story to a milestone/epic.

  • Label story as an active backlog issue (i.e. an issue on which we will be actively working).

  • Prioritize the story relative to other items in the active backlog.

  • Review progress/priorities in weekly collaboration meeting.
